Users


Overview

The Users form shown below is where you define users that are allowed to Login to EZScale, passwords and privileges.

You can only get to this form by selecting Maintain | Users from the menu.

IMPORTANT:      The first time your run EZScale, it creates a DEFAULT user with a blank password and full privileges. If you want to secure your system, you will need to create new users with passwords and privileges set. After you have done that, including creating one or more users who have full privileges, we recommend that you edit the DEFAULT user and check the Inactive box. This will prevent anyone from logging in as a DEFAULT user and will ensure that any new user accounts start out as Inactive.

 

The use of multiple users is optional. You can use just the DEFAULT user if you want, but take note of the important message above. We The maximum number of users is unlimited.

 

Common Elements

The Toolbar, ID, Name and Inactive elements function the same for all forms under the Maintain menu. Default values for new records can be defined by editing the Default Record.

IMPORTANT:      Changes made to the password or privileges of the user who is currently logged in will not take effect until that user logs off and then logs back in to the program.

Inactive

A user with the Inactive box checked will not be allowed to Login to EZScale. Using the Inactive feature is necessary to disable the DEFAULT user. It can also be useful to temporarily lock-out a user during a layoff, strike, vacation, etc. without having to delete the user entirely and then recreate later.

General Tab

The General tab lets you record basic information about the user such as a contact phone number and some comments.

Privileges Tab

The Privileges tab, shown below, is where you define the users password and what areas of the program a user is allowed to access and/or what functions the user is allowed to perform.

Password

The password can be any combination of up to 15 alpha/numeric characters. EZScale converts all letters to UPPER CASE, both here and when you Login so you don't have to worry about the case being wrong.

Below are a few tips on creating hard to guess passwords:

Generate/do-it2.gif    Make sure they are at least 8 characters long.

Generate/do-it2.gif    Don't use a word from the dictionary, proper name, or anything that someone might be able to guess or associate with you like a birthday, house number, etc.

Generate/do-it2.gif    The best passwords are a combination of random characters such as D#Z52Q& ... Now that would be hard to guess! But it's also hard to remember.

Generate/do-it2.gif    Another approach is to create a nonsense phrase and use the first letter from each word in the phrase. For example, "Sue Seeks Solace While Singing Love Songs" translates to SSSWSLS. But don't' use this one! Think up your own.

 

IMPORTANT:      Whatever you do, don't forget your password. At least don't forget the password associated with an account that can access Users and change passwords. We recommend that you create a couple accounts such as ADMINISTRATOR or SUPERVISOR. Then give them hard to guess passwords and full access to the system. If you ever forget one of the passwords or accidently delete one of the users, hopefully you'll be able to get into the system using the other user ID.

 

     One more thing... you need to disable the DEFAULT user account. We recommend that you edit the DEFAULT user and check the Inactive box. This will prevent anyone from logging in as a DEFAULT user and will ensure that any new user accounts (whether created on purpose or accidentally) start out as Inactive.

 

     Finally, if you really want to get tough, edit the Default Record and assign it a hard to guess password. Then all new accounts will be initialized with a password also. Now that's secure!

Primary Tables

Primary Tables include Customers and Vendors, Drivers, Inventory, Jobs, Purchase Orders, Tickets, Trucks and Users. You can define six (6) levels of access to each table. The levels of access are:

Full            Full access to Read, Add, Edit, or Delete records and to Change record ID's. (Full is the same as RAEDC below)

None            No access is granted.

R            Read only access to view data.

RA            Read and Add new records.

RAE            Read, Add, and Edit existing record data.

RAED            Read, Add, Edit, and Delete records.

RAEDC            Read, Add, Edit, Delete, and Change ID on records (same as Full above)

Advanced

The advanced section of the Privileges tab address access to Support Tables, the Tools Menu and the ability to Transmit Data.

Support Tables

Support Tables include CV Address Types, CV Types, Delivery Methods, Inventory Price Levels, Job Phase Types, Payment Methods and Tax Codes. You can set one access level for all the support tables. The access levels available are the same as those available for the Primary Tables above.

Tools Menu

Check the Tools Menu box to allow the user access to the Tools Menu and any of the submenu items under the Tools Menu.

Transmit Data

Check the Tools Menu box to allow the user to select Transmit Data under the Tasks Menu.

Access Denied Message

Users without access to a particular table, menu or feature may be able to see some options, but they when they try to access the restricted feature, they will get this message:
